JOB POSITION #183:  ADMINISTRATIVE ASSISTANT 

NUMBER OF VACANCIES:  1

DEPARTMENT:  Administration

PAY GRADE:  I Non-Exempt

HIRING RANGE:  $17.27 - $21.22 / Hour

TYPE OF POSITION:  Regular, Full-Time

WORK LOCATION:  City Hall Building 

DAYS WORKED:  Monday - Friday

HOURS WORKED:  8:00 a.m. 5:00 p.m.

JOB DUTIES

ESSENTIAL DUTIES:

Performs a variety of routine and complex clerical, administrative and technical work in the administration of the City.

Works under the administrative supervision of the City Manager or his/her designee.

Gathers, interprets, and prepares data for studies, reports and recommendations.

Coordinates activities with other departments and agencies as needed.

Coordinates Mayor, City Council, and City Manager's schedule, and other personnel as requested.

Remains informed of problems, situations, and conditions of special interest to the Mayor and Council, and the City Manager.

Welcomes visitors for the Mayor and City Manager, and other office personnel such as Assistant City Manager, City Councilors, etc. as requested.

Responds to inquiries from diverse constituencies, providing information regarding policies or decisions, referring inquiries or problems, and resolving problems.

Prepares a variety of studies, reports and related information for decision-making purposes; conducts research, analysis, and prepares recommendations regarding proposals for programs, grants, services, budget, equipment, etc.

Provides administrative assistance to Mayor and City Council.

Assembles background materials, prepares agendas, and records action items for various meetings, as required.

Prepares drafts of speeches, presentations, resolutions, ordinances, contracts, administrative policies, etc. as assigned.

Investigates and follows-up on citizen requests for service, complaints, and requests for information.

Assists in the development of notices, flyers, brochures, newsletters, media releases, news articles, and other informational materials about programs and services.

Working knowledge of the City's website, Facebook, YouTube, and other social media platforms. Serves as an editor to upload documents and post information and/or make changes.

Receives, reads, and distributes incoming mail, memorandums, reports, correspondence, and confidential documents to determine their significance and plan their distribution.

Monitors all of the City's boards and commissions; keeps the Mayor informed of vacancies and expired terms; processes new board or commission applications and appointments.

Processes payroll for the Administration Department.

Processes travel requests, P-Cards, receipts, and invoices for the Administration Department and for City Manager, Mayor and Council.

NON-ESSENTIAL DUTIES:

Orders supplies for Administration division.

Maintains files for the City Manager and Mayor.

Serves as a member of various employee committees, as assigned.

QUALIFICATIONS

This position is subject to the City of Farmington's Drug and Alcohol Free Workplace Policy.

Graduation from a high school or GED equivalent or a college or university with an associate or bachelor's degree is desired, and two (2) years of related experience; or any equivalent combination of education and progressively responsible experience, with additional work experience substituting for the required education on a year for year basis.

Working knowledge of the principles and practices of modern public administration.

Working knowledge of personal computers and software, including specific knowledge of current Microsoft Word, Excel, PowerPoint, Adobe Acrobat, Gmail, Google Calendar/Drive, and/or use of text messages.

Working knowledge of administrative office practices and procedures, with proficient spelling and grammatical skills.

Ability to accurately record and maintain records.

Ability to communicate effectively verbally and in writing.

Ability to effectively meet and deal with the public.

Ability to maintain confidential, sensitive material.

Ability to establish and maintain working relationships with co-workers, supervisors, other City personnel and the public.

Ability to operate tools and equipment listed.

TOOLS AND EQUIPMENT USED:

Personal computer including word processing and spread sheeting software, calculator, copy/scanner machine, telephone (including voice mail system), fax machine and dictating equipment.  Familiarity with and ability to learn and become proficient within the AS400 and NaviLine computer systems.
