JOB DUTIES

OVERVIEW

This position is working with the nationally accredited Parks, Recreation, and Cultural Affairs Department. The Department has eleven (11) diverse divisions that are committed to building gateways that enrich our community through exceptional customer focus.

ESSENTIAL DUTIES

Performs a variety of routine and complex clerical, secretarial and administrative work in keeping official records, providing administrative support to the staff, and assisting in the administration of the standard operating policies and procedures of assigned divisions with the PRCA Department.

Distributes biweekly schedules to staff to ensure timely maintenance. Inputs and activates light system to ensure lights are available for users.

Familiarity with and ability to learn and become proficient within the AS400 computer system and CivicRec.

Works under the supervision of the Assistant Director PRCA Parks and Fields. No supervision is exercised in this position.

Responds to inquiries in person, email and phone or other media from employees, citizens and others then answers questions or refers, when necessary, to the appropriate persons.

Prepares monthly, quarterly, and annual division reports and other specialized statistical reports as assigned.

Composes, transcribes, types and edits a variety of correspondence, reports, memoranda, forms, minutes, documents and other material requiring judgment as to content, accuracy and completeness.

May be required to follow City Purchasing policies to order and purchase department supplies.

Use of various computer software to complete a variety of activities and data input necessary for division operations. Sample activities and input include, purchasing, travel, and payroll.

Using excellent customer service skills, establishes and maintains effective working relationships with other employees, officials, and all members of the general public.

Attendance at work is an essential function of this position.

NON-ESSENTIAL DUTIES

Assist in researching information from divisional files.

Assists PRCA Department staff as needed for specialized projects.

May serve as a staff support liaison to various Commissions and Boards for taking notes and preparation of meeting agendas.

Other duties as assigned.

QUALIFICATIONS

This position is subject to the City's Drug and Alcohol Free Workplace Program. This includes: pre-employment testing, post-accident testing, reasonable suspicion testing, return-to-duty testing, and follow-up testing.

Extensive background checks required.

Graduation from a high school or GED equivalent with specialized course work in general office practices.

Ability to type 40 wpm or at a rate sufficient to perform duties of the job.

Ability to accurately record and maintain records.

Ability to work under stress and handle stressful situations.

Ability to meet deadlines.

Ability to maintain confidential, sensitive material.

Knowledge of personal computers and software packages, including specific knowledge of Excel and MS Word.

Knowledge of general office practices and procedures, with proficient spelling and grammatical skills.

Skills communicating effectively verbally and in writing.

Skills to establish and maintain working relationships with co-workers, supervisors, other City personnel and the public.

Skills to successfully organize, work and complete multiple tasks simultaneously.

Ability to operate tools and equipment listed.

This position has the responsibility to participate in and comply with the City's Environmental, Health, and Safety program.

TOOLS AND EQUIPMENT USED

Personal computer including Microsoft Office software, calculator, copy machine, telephone, fax machine, dictating equipment and base station radio.
