JOB POSTING #124: PROGRAM AIDE

HOURS WORKED: 8AM to 4PM

JOB DUTIES

ESSENTIAL DUTIES TITLE III PROGRAMS:

Performs a high level of administrative support including preparation of statistical reports, monitoring fiscal activities, handling information requests, relaying and resolving routine telephone and/or walk-up inquiries, scheduling calendar items and meetings, processing forms, performing data entry, and establishing and maintaining records. Edits and proofreads documents to ensure accuracy. May perform duties involving simple mathematical calculations.

Using excellent customer service skills, establishes and maintains effective working relationships with other employees, officials, and all members of the general public.

Works under the supervision of the Adult Programs Manager.

Operates a motor vehicle to assist in carrying out the business of the department and the City including meal delivery as needed.

Greets patrons, answers phone calls and routes calls to appropriate team member.

Performs general office duties.

Enters all patron information and units of service for the Senior Center into SAMs database as required by Non-Metro Area Agency on Aging, and maintains client confidentiality, and protection of sensitive information.

Registers, updates and records personal information for Caregiver, Homemaker, Transportation, Congregate and Home Delivered Meal patrons.

Maintains accurate and complete records of services provided under Title III for program partners: Aztec Senior Center, Blanco Senior Center, Bloomfield Senior Center, Bonnie Dallas Senior Center and Lower Valley Senior Center.

Reviews program rosters, daily logs and other partner reports such as financial statements and requests for reimbursements for accuracy and make corrections as necessary.

Prepares weekly and monthly reconciliation reports for reimbursement.

Prepares summaries of all partner centers for Adult Programs Manager and center directors.

Conducts homebound assessments of patron needs for Title III services such as Home Delivered Meals (HDM), Caregiver Voucher and Senior Homemaker Program.

Screens, tracks and documents client assessments and reassessments. Coordinate partner center assessment/reassessment lists with AAA/Tucumcari.

Inputs assessments/reassessments and other relevant data into electronic database for all partner centers.

Receives requests for assistance and supplies from partner centers. Process requests for reimbursement from partner centers.

Attends meetings and trainings as required or directed.

Participates in annual program review by ALTSD and/or Non-Metro Area Agency on Aging.

Conducts product inventory and kitchen inspections at partner centers as assigned.

Conducts mass assessment events at all participating senior centers. For example, ensuring we have current personal information such as address, phone number, health status, and nutrition needs.

Communicates errors, issues and reporting concerns that would inhibit reimbursements or complicate data transmission to the State of New Mexico. These challenges are addressed by either the Adult Programs Manager, COF Finance Department or partner center directors as it pertains to each department.

Attendance at work is an essential function of this position.

NON-ESSENTIAL DUTIES:

May provide backup for related departmental positions.

May be required to attend departmental, state or senior Olympic meetings to record and transcribe minutes, and assist Administrator.

Works other related senior activities within the senior center campus or outside, as needed, including weekend activities.

QUALIFICATIONS

This position is subject to the City of Farmington's Drug and Alcohol Free Workplace Policy which includes: pre-employment testing, post-accident testing, reasonable suspicion testing, return to duty testing, and follow-up testing.

Graduation from a high school or GED equivalent with a specialized course work in general office practices such as typing, filing, accounting, and bookkeeping, and five (5) years of increasingly responsible related experience, or any equivalent combination of education and experience.

Must have a valid driver's license or ability to obtain a valid New Mexico driver's license before date of hire, with acceptable driving record for the past three years.

Working knowledge of computers and software packages to include Microsoft Word, Access, Excel, Publisher, and Lotus Notes or Outlook, and willingness to learn new computer applications such as the HTE software system to record work requests, purchases, and schedules.

Ability to work with confidential information, both written and verbal while complying with confidentiality standards set by the Administrator.

Ability to establish and maintain effective and harmonious working relationships with co-workers, supervisors, and other City department/division personnel, senior citizen patrons, and outside contacts and agencies.

Strong work ethic, initiative, reliability, flexibility, ability to work independently, and ability to multi task and pay attention to detail.

Ability to meet deadlines.

Ability to work under stress and diffuse difficult situations when necessary.

Ability to type 30 .wpm or at a rate sufficient to perform duties of job.

Strong verbal and written communication skills with an emphasis on excellent customer service.

Ability to work with a culturally diverse group of people.

Ability to work an occasional evenings, weekends, or as needed for special events.

Ability to operate the tools and equipment listed below.TEh

TOOLS AND EQUIPMENT USED:

Personal computer, copy machines, calculator, telephone, fax, email and two way radio. May be required to drive a 15- passenger van to deliver Meals on Wheels or transport patrons. We don't have 15 passenger vans - this needs to be updated
